How documents receive registration numbers

Automatic generation of registration numbers and common reasons for a blank number.

Last updated 20 days ago

When a category and organization are selected in the New Document form, Hanna identifies the corresponding series. The registration number consists of the series text and a sequential number padded with zeros. For example, given the series DOK- and the number 7, the system might display DOK-000007.

Once the appropriate series is found, the registration number field is populated automatically. Upon saving the document, the sequence counter increments so that a new number is proposed for the next document.

If the field remains empty, check the following:

  • whether a Document category has been selected;
  • whether the category is assigned to a number series;
  • whether the series belongs to the correct organization;
  • whether the correct next number is specified.

Reverting the sequence is not recommended. If you need to change the prefix, starting value, or organization, verify the last used number before saving.
