Tasks templates and sets

Templates for a single Task and sets of multiple related tasks.

Last updated 13 days ago

Use Save for frequently used Task items and to create a sequence of multiple related tasks in a single action.

Tasks templates

A template stores frequently used Task fields so they do not need to be filled in every time.

An administrator can define the title, description, type, objective, priority, duration, participants, and other relevant fields in the template. When creating a Task from a template, it is essential to review the pre-set dates and participants before saving.

After creating a Task from a template or set, open the items and verify the start and end dates. This is particularly important when the template involves duration, deadline offsets, or multiple related records.

Tasks sets

A set allows you to create multiple interconnected Tasks in a single action. It consists of selected templates, their sequence, relative dates, and—if configured—dependencies.

When creating a Task from a set:

  1. select the required set;
  2. specify the base date and other requested data;
  3. initiate the creation process;
  4. verify that all Tasks have been created; 5. Review their dates, responsible parties, and dependencies.

If relative dates are used in the set, they must be reviewed after creation due to the date calculation limitation described in the previous section.

Creating a Template

In the administration menu, open the Tasks templates and select New record. Fill in only the values that need to recur: title, type, objective, priority, description, duration, participants, milestones, or tags. Use relative rules for dates so that the template is not tied to a specific day.

After saving, open the creation of a new Task from the template and review the entire prepared form. Pay particular attention to dates, participants, and the client or project.

Creating a Set

  1. Prepare the templates required for the set.
  2. Add them to the set in the required sequence.
  3. Specify relative start, end, and critical dates.
  4. Create dependencies if the tasks must be performed sequentially.
  5. Save and test using a reference baseline date.

After launch, check the number of created Tasks, as well as the creator, responsible parties, dates, status, and dependencies for each.

Which function to choose

A template is suitable for a single, frequently created Task. A set is suitable for a process involving multiple Tasks. Use recurrence for the regular creation of a single Task over time.
