Task Items and Stock Write-off

Optional management of Items, warehouses, batches, and Stock Write-off within the task.

Last updated 13 days ago

Task Items is an optional feature of the Max plan. It appears only when the use of Items is enabled for the organization in Taskse. This feature helps add consumable Items or materials to the job and, if configured, deduct them upon completion of the Task.

Items line fields

In the form, you select the Item, quantity, warehouse, and the Deduct upon completion of Task attribute. When serial numbers are used, a serial number selection option may appear, and the quantity for an Item requiring a serial number can be managed based on the selected numbers.

How to add Item

  1. Open the Task Items tab on the Task card.
  2. Click New record.
  3. Select the Item and the warehouse.
  4. Specify the quantity and the serial number, if required.
  5. Mark the option to deduct upon completion only when the Item is actually consumed. 6. Save and validate the line.

The corresponding functions of the Tasks module are used to create, edit, and delete Items records.

Completion impact

Upon completion of the Task, the system selects lines marked for consumption upon execution and records a negative change in warehouse inventory. Reverting the Task from the "completed" status triggers an offsetting inventory adjustment.

Before completion, verify the warehouse, quantity, batch/serial numbers, and actual inventory balance. Scenarios involving status changes, insufficient stock, and multiple warehouses should be tested within the organization's configuration.

Copying and templates

When copying a Task or creating one from a template, lines can be copied along with the quantity, warehouse, and Stock Write-off attribute. Before saving the copy, verify that the original materials are still suitable for the new task.

Items reservation and inventory management depend on the Inventory features enabled within the organization. If these options are missing from the Task card, contact the administrator regarding module settings and configuration.
