Connecting Google and Office 365 Calendars
Bidirectional synchronization directions; selection of calendars and event types.
Last updated 20 days ago
Manage your personal integration via the Google Calendar or Office 365 Calendar card in your profile. This is a separate location from the Calendar settings (gear icon).
First, authorize the external account. Then, select the directions separately. Google / Outlook → Hanna determines which external calendars will feed events into Hanna. Hanna → Google / Outlook determines the target calendar and the types of events sent out. On the Google card, you can also select a start date for synchronization and choose whether to use Google Meet.
If a specific write calendar is not selected, the Office 365 integration may use a dedicated Hanna CRM calendar. Multiple calendars can be selected for reading. Disconnecting the integration does not delete the user's personal calendar; the system manages only the special calendar it created itself.
If synchronization stops, check the account status, the last sync time, selected calendars, event types, and the start date. Re-authorize if prompted. Perform an initial test with a single, clearly named event and verify both systems before enabling synchronization for a large volume of data. Projects and holidays are not automatically sent simply because they appear in the main calendar. The integration is primarily designed for selected event types and external events.
Initial test checklist
Create a single test event with a unique name, a clear start and end time, and a synchronizable type. Run Synchronize Now, locate the event in the external calendar, and verify the timing. Then, create a single external event in the selected read calendar and verify that Hanna has created exactly one corresponding event.
Before mass deployment, test the behavior around daylight saving time transitions, as well as recurrence, attendees, descriptions, renaming, rescheduling, and deletion in both directions. Do not switch multiple calendars at once; otherwise, it is difficult to identify the source of any duplicates. If disconnecting an account, first note which records already exist in both systems.
