Creating and editing a Document

Type, dates, numbers, links, assignees, and content.

Last updated 13 days ago

What you’ll do

You will create a document and select its type, dates, numbers, assignees, related records, and content source.

Before You Begin

You need create or edit permissions for the Documents module. The document type, template, and approval workflow must be set up by an administrator if they are used in the process.

Steps

  1. In the document list, click New record. First, select the Document Type and Organization. Based on the type, the system may suggest a title, category, text template, and approval workflow; therefore, it is convenient to select these fields before filling out the rest of the form.
  2. Enter the title, select the category and status, and specify the Contact. Select the Contact person from the list of people. If you change the Contact, double-check the Contact person, project, Opportunity, and objects.
  3. Fill in the document number, document date, receipt date, expiration date, and dispatch date according to your process. The system may automatically suggest a registration number. Add assignees, the project, Opportunity, the organization, and objects so that the document is easy to find within related records. 4. Use a brief internal summary for the description. You can prepare the document content in the editor, select a template, or upload a file. Before saving, check the title, Contact, document date, numbers, and assignees.

What happens after saving

Once saved, the document becomes available in the Document List and on the cards of linked Contacts, Projects, Opportunities, or Objects, depending on your permissions.

Troubleshooting

If the document being approved or signed no longer allows content changes, check its status and any warnings. Changing the content may restart the approval process or cause a mismatch with the file submitted for signing.
