Items connections, import, export, and integrations
Connections with sales and inventory modules, data uploading, and connector limits.

Items catalog data is used in Opportunities, quotes, pro forma Invoices, Invoices, and inventory documents. A line inserted into a sales document retains its values, so a subsequent change to the catalog does not necessarily alter the existing document.
Before importing, organize the Items code, categories, units of measure, VAT, suppliers, and organizations. Decide which field will be used to update existing records. After importing, verify a few records and their usage in a test document.
When exporting, first configure the filters and columns. The scope of the export depends on team member permissions; cost price should not be displayed in team member without reviewing permissions.
If accounting, e-commerce, or other integration is enabled, it may synchronize codes, prices, stock levels, or categories. Resolve integration errors based on the specific connector's status and log; simply changing the Items activity status will not fix the issue.
Safe import procedure
First, export a small sample or prepare a few test lines. Ensure consistent formatting for category, unit, and VAT values. After importing, use the Items code to check for duplicates, verify that prices have been mapped to the correct fields, and confirm that physical Items are assigned to the appropriate organization.
If the data is managed via integration, determine the data flow direction before making manual corrections: from Hanna to another system, to Hanna, or in both directions. Otherwise, the next synchronization might overwrite your manual change. In the event of an integration error, record the Items code, the timestamp, and the displayed error message.
If the integration error persists, send Hanna Customer Support the integration name, organization, Item code, synchronization direction, attempt time and time zone, and the exact error text. Do not send integration sign-in credentials.
