Reservations and Incoming Items

Meaning of reserved and ordered quantities, available balance, and status management.

Last updated 20 days ago

A reservation allocates a portion of the warehouse stock to a specific sales process. On the Reservations tab, you can view the warehouse, the item or other source, the date, and the quantity. A reservation is not typically a physical movement of the item, but it can reduce the quantity available for sale.

When a sale occurs, is cancelled, or its quantity changes, the reservation must be updated or finalized. An outdated reservation incorrectly reduces the available quantity.

The Incoming Items tab displays which warehouse is expecting an item, the source document, the expected arrival date, and the quantity. This quantity becomes actual stock only after the item is received. When planning sales, consider the current balance, reserved quantity, arrival date, and critical stock level.

Example

There are 10 units in the warehouse, and 4 are reserved for a specific order. If reservations are deducted, 6 units are available for sale. An additional 8 units shown on the Incoming Items tab do not increase the current balance until they are officially received into stock. Therefore, when planning a sale of 12 units, the expected receipt date must also be taken into account. If Opportunity is closed or its quantity is reduced, check that the reservation is also updated. If Order is delayed, adjust its date in the source process so that the sales team does not see an outdated arrival deadline.
