Project settings, statuses, and templates

Classifiers, stage templates, and change control.

An administrator accesses settings via System Settings → Projects. There are five areas: Types, Statuses, Participant Roles, Stage Templates, and Project Types. For a status, you specify the name, project type, color, default value, Kanban display, activity status, and sequence. Selecting a project type in the form may change the list of available statuses.

Templates can be linked to a project status. When a project transitions to that status, the system can generate ready-made items. Stage Templates facilitate the replication of a consistent project structure and can be temporarily disabled. Participant Roles define the function of team members, while Project Types define the role of the associated entity—such as a client or contractor.

Field visibility settings determine which data appear in the form and the list. Calendar settings allow you to separately toggle the display of active projects and completed projects. Enabling this feature does not grant additional permissions. Before modifying a status currently in use, check whether any templates, emails, reports, or Kanban rules are linked to it. Test the change in a control project, then verify the list, Kanban board, card, and calendar.

Change Management

Do not change the destination of an active status simply by renaming it. First, identify which projects, templates, reports, and integrations rely on it. It is safer to start a new process with a new status and address legacy data later.

Test the template in a single control project: change the status and verify the dates, assignees, stages, and duplicates of the created items. Then, decide whether to activate it for the entire organization.
